This article is only applicable to admins with relevant permissions.
When you add people to Workplace using a Microsoft Excel or CSV file, you can choose to invite them at a later date. For other ways of adding people to Workplace, such as email address or mobile phone number, you invite them at the same point as adding them to Workplace.
There are a few different ways you can invite people to activate their Workplace account if you did not invite them at the time of adding them.
Invite people one by one
To send an invitation to one person:
- Click Admin Panel in the left menu on Workplace.
- Click People.
- Select Account status.
- Select awaiting invitation from the drop down menu then click Update.
- Use any other filters to speed up your search, such as name or job title.
- Click Invite next to the name of the person you want to invite.
- Enter the custom invitation message or accept the default message, then click Continue.
- Click Send invitation.
Invite several people at the same time
You can send an invitation to all provisioned accounts, or use filters to invite specific groups. To do this:
- Click Admin Panel in the left menu on Workplace.
- Click See pending invitations.
- From the Awaiting invitations tab, you can:
- Click Invite all (number).
- Add more filters such as job title or department, then double-click away from the filter bar to refresh the screen, then click Invite all (number).
- Follow the on-screen instructions.
Create rules
You can set up rules that capture uninvited accounts that meet certain conditions (such as job title or department) on an ongoing basis, so you don’t have to manually search for people you need to invite. You also have the option to customize your invitation to people who meet the conditions of the rule.
To create rules and customize invitations:
- Click Admin Panel in the left menu on Workplace.
- Click People.
- Click the Invite rules tab.
- Click New rule.
- Enter a rule name and decide whether you want to add people to the rule manually or sync with profile fields. Click Next.
- One of the criteria will be that the account’s status is awaiting invitation. Add any other conditions that you'd like. When done, click Next.
- Customize the invitation to people who meet the conditions of the rule, then click Save.
- Invitations are not sent automatically. Rules just capture people who meet the conditions of your rule on an ongoing basis. To send invitations, go to the Invite rules tab in People and click Send invitations.
You can create as many rules as you like. You can also edit your rules at any time, by clicking next to your rule in your rules list.
